Job Description
XenZone is already the largest provider of digital mental health services in the UK, and growing fast. We have been delivering online mental health support to young people since 2004. Our youth-focused platform, Kooth, is available in over half of all NHS clinical commissioning groups. To date, XenZone has helped over million children, young people and adults by connecting them with clinicians in safe, supportive online communities. We are looking for an experienced administrator who can deliver an efficient and comprehensive administrative service. To include provision of support to the Heads of Service, specifically managing the rota system. Welcome all callers, staff and visitors to the office and ensuring they are treated with sensitivity and professionalism. This role is based in our Manchester Office however in light of COVID - 19 this role will be home based for the foreseeable. Interviews will take place via Google Hangout. Main Responsibilities Key duties, (including, not limited): Administrative Support * General administrative support, including word processing, dealing with correspondence/post, arranging appointments and diary management, photocopying and maintaining a comprehensive filing system and co-ordinating meetings/minute taking, as required * Answering and transferring telephone calls, using numerous phone lines and extensions and keep a detailed record of all incoming and transferred call information. * Maintain record and audit of DBS renewals, ensure all renewals are up to date * Provide specific reports as requested. For example monthly sickness monitoring * Evaluation of suppliers to ensure best value * Coordination of all aspects of event management for team activities * Be responsible for maintaining the office environment and supplies and escalating issues and concerns to the Service Director Rota * To ensure that all employee and bank worker hours are entered onto the rota system * To inform out-of-hours on call managers of rota changes and variations * To audit invoices and report any rota changes to the payroll department (overtime and bank staff) * To develop relationships with staff members and bank workers to assist in filling sessions at short notice * To assist with and resolve any queries from colleagues regarding the rota, escalating issues where needed The main responsibilities are not an exhaustive list of duties, only a general guide to the post. In consultation with the post-holder, the duties may change from time to time to reflect the changing needs of the service. Requirements Knowledge: * Good working knowledge of Microsoft Office, using Excel, email and managing a database Aptitude and Attitude: * Excellent communication skills and the ability to multi-task * Highly organized with good attention to detail * Excellent telephone manner Experience: * Working in a busy office environment * Being part of a team delivering effective and efficient administrative support Benefits We offer a generous annual leave entitlement of 36 days (inclusive of Bank Holidays) and great benefits including pension, healthcare cash plan and more! This is a 35 hours pw full time permanent position.
