Personal Assistant to MD - initially 6 months contract - Leading Organisation working on a large scale infrastructure projects - £200 day rate Umbrella / £162 day rate PAYE - Birmingham Advantage Resourcing are currently working with a leading organisation working on a large scale infrastructure project, who are looking to recruit an experienced Personal Assistant to support at Managing Director level. Key Responsibilities: You will be responsible for providing support to the Managing Director and his team. Assist in all areas of day to day duties through the provision of adhoc administrative support to ensure the team works effectively. Manage and co-ordinate the Managing Director's diary of internal and external meetings, including all professional engagements and any other appointments, liaising with other PAs as required to arrange meetings with the Board and Executive and other key stakeholders to ensure effective use of time. Prepare briefing packs, meeting papers and all other documentation, chasing up and coordinating responses as required by the Director, to ensure meetings run smoothly. Format presentations for use in board and executive meetings to create clear and high impact presentations.File all documentation effectively to ensure ease of access as required. Manage all travel and accommodation requirements effectively and within guidelines. Act as first point of contact for all enquiries for information from the Managing Director, redirecting and responding as appropriate, and ensuring that all other tasks are completed to a high standard as required. Monitor the Managing Director's mailbox, prioritising issues to be dealt with for their attention, producing minutes, maintaining an action log and forward agenda. Manage projects as assigned through to completion, for example, organisation of events on behalf of the Managing Director. Experience required for this role: Experience of providing PA/ EA support at Managing Director/ Executive Director level Working within complex matrix environments would be advantageous Full administrative support duties such as; complex diary management, domestic and international travel arrangements, inbox, expenses and corporate event coordination Manage a very busy workload within a fast paced environment Comfortable working in an international environment, liaising with diverse cultures and personalities across the globe Exceptional communication skills - ability to liaise with personnel/ senior executives at all levels Handling confidential matters and working under pressured deadlines Project management experience Excellent IT systems knowledge and experience - MS Office suites including PowerPoint Exceptional written and verbal skills Resilience and positive personality Demonstrated ability and willingness to continuously acquire new skills and accept new challenges Strong stakeholder management expertise Exceptional team player expertise To apply for this role please send through your CV for consideration and we will be in touch should your experience match our criteria.
